Privacy, explained clearly.

This notice explains when 10ANTS decides how personal information is used, and when we handle it for a customer building or organisation.

10ANTS is a UK business in the process of incorporation. Registered company details will be added following incorporation.

1. Who we are

10ANTS provides building-branded Tenant Sites, administration tools and optional tenant apps for workplace buildings in the United Kingdom.

2. Our data protection roles

When 10ANTS is the controller

10ANTS decides why and how personal information is used for this marketing website, enquiries, correspondence, subscriptions, customer contacts, service security, abuse prevention and our contractual and business administration.

When a customer is the controller

A customer building or organisation normally decides why and how tenant, visitor and building operations information is used. In that situation, 10ANTS acts as its processor and follows the customer’s documented instructions and data processing agreement.

The relevant building or organisation should provide its own privacy information for its tenants, staff and visitors. If your question is about information used by your building, contact that building or organisation first.

3. Information we handle

Depending on how you interact with 10ANTS, this can include:

  • contact details, such as your name, work email, organisation and role;
  • enquiry, demo, support and other correspondence;
  • account, sign-in, invitation and security information;
  • technical information, including request, device, browser, security and diagnostic data;
  • information submitted through enabled building services, such as requests, bookings, visitor invitations, deliveries or inspection records;
  • building content supplied or approved by a customer; and
  • marketing preferences and a record of when and where consent was given.

We receive information from you, our customer, authorised building users, configured email routes and the systems needed to provide and protect the service.

4. How and why we use it

Enquiries and demonstrations

To respond, arrange a demonstration and take steps towards a possible business relationship. We rely on steps requested before a contract and our legitimate interests in operating and developing the business.

Customer service and accounts

To provide agreed services, administer accounts, support authorised users and communicate with customer contacts. We rely on contract and legitimate interests.

Security and service improvement

To protect the service, prevent abuse, diagnose faults and improve reliability and usability. We rely on legitimate interests and, where applicable, legal obligations.

Marketing updates

To send occasional product news and practical workplace building ideas when you have actively chosen to receive them. We rely on consent.

Legal and business records

To meet legal, tax and accounting duties, establish or defend legal rights and administer customer relationships. We rely on legal obligations and legitimate interests.

5. AI-assisted features

Where a customer enables AI-assisted features, relevant questions, messages or request details may be sent to an AI service to produce an answer, extract structured information or prepare a suggested action.

The AI may draft or recommend, but it does not choose to submit an action on a user’s behalf. Actions such as creating a request require explicit confirmation. Customers decide which AI features are enabled for their building and which source information is made available.

6. Service providers and international transfers

Key providers currently include:

  • Vercel for website and application hosting;
  • Supabase for product authentication and data services;
  • Resend for transactional and marketing email; and
  • OpenAI, where enabled, for AI-assisted responses and structured processing.

Providers receive only the information needed for their role and act under contractual terms. Some processing may take place outside the United Kingdom. Where required, we use an applicable adequacy decision or contractual safeguards such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.

We may also disclose information where required by law, to protect legal rights, or as part of a properly managed business transaction.

7. Marketing choices

The demo form has an optional, unticked choice for marketing updates. The footer subscription form is a separate affirmative choice. Submitting a demo request without opting in does not subscribe you.

Resend stores our marketing contact list and preference status. Marketing emails include a link to unsubscribe or manage available preferences. You can also withdraw consent by emailing hello@10ants.app. Withdrawal does not affect processing that took place before it.

8. Cookies and similar technology

The public marketing website does not currently use advertising cookies or analytics tracking. Essential hosting and security technology may process request and browser signals needed to deliver the site and protect forms from automated abuse.

Product sign-in areas use essential authentication and security technology. If we introduce non-essential analytics or advertising technology, we will update this notice and add any consent controls required before enabling it.

9. How long we keep information

  • Unconverted enquiries are normally retained for up to 24 months after the last meaningful contact.
  • Enquiry and marketing records are reviewed for deletion at least annually, and may be removed earlier following a valid request.
  • Customer, accounting and contractual records are kept for the period required by law or reasonably needed to manage legal rights.
  • Tenant, visitor and building operations information is kept according to the customer’s instructions, configured retention and data processing agreement.
  • Security records may be retained for a limited period needed to investigate abuse, protect the service and meet legal obligations.

10. Your rights

Depending on the circumstances, UK data protection law can give you rights to access, correct, delete or restrict personal information, object to certain uses, receive portable information and withdraw consent.

Email hello@10ants.app to make a request. We may need to verify your identity. Where a customer controls the information, we may pass your request to that customer or ask you to contact them directly.

You can also complain to the Information Commissioner’s Office.

11. Children

10ANTS is designed for authorised adults using or managing workplace buildings. It is not directed at children, and we do not knowingly invite children to create accounts or submit enquiries.

12. Changes and contact

We may update this notice as the service, providers or legal requirements change. The effective date and version at the top identify the current public notice.
